Custom Jewelry Design Policy

Heather Campins Jewelry offers personalized guidance for customers seeking a truly custom piece of jewelry. Each project is considered individually and is subject to design feasibility, material availability, budget, production requirements, and acceptance by Heather Campins Jewelry.
Initial Inquiry
Submitting a jewelry request form, sending inspiration images, or discussing an idea with Heather Campins Jewelry does not create an order, reserve materials, or begin design or production work.
Initial inquiries are complimentary and allow us to better understand the customer’s preferences, budget, desired timeline, and overall vision.
Initial Review
Heather Campins Jewelry will review the proposed design to determine whether the project is feasible and appropriate for our available design and production resources.
This review may consider:
- Design structure and durability
- Gemstone and metal compatibility
- Material availability
- Budget
- Sizing requirements
- Production needs
- Estimated timing
Heather Campins Jewelry may recommend modifications or alternative designs when necessary for appearance, durability, wearability, production feasibility, or budget. We reserve the right to decline projects that we cannot confidently produce or recommend.
Project Proposal and Pricing
If a project is accepted, the customer will receive a proposal outlining the anticipated scope, design fee, included revisions, estimated production cost, payment requirements, and approximate timeline.
Because precious-metal, gemstone, and production costs can change, quotes are valid only for the period stated in the proposal. Pricing may need to be reconfirmed if the customer does not proceed within that period.
Any material change requested after the proposal may require revised pricing.
Design Fee
CAD drawings, detailed renderings, stone layouts, and other design-development services begin only after the stated design fee has been paid and the applicable terms have been accepted.
The design fee is nonrefundable because it compensates Heather Campins Jewelry and its production partners for time and services devoted to the project.
The customer’s proposal will state whether any portion of the design fee will be credited toward the purchase of the completed jewelry.
Revisions
The number of revisions included in the design fee will be stated in the project proposal.
A revision generally includes a reasonable adjustment to the approved design direction. Requests that substantially change the original concept, materials, stone arrangement, dimensions, or style may be treated as a new design or require an additional fee.
Additional revisions beyond those included in the proposal must be approved and paid for before further design work continues.
Design Approval
Before production begins, the customer must review and approve the final:
- CAD rendering or design representation
- Gemstone selection or specifications
- Metal type and color
- Dimensions and proportions
- Ring size or other applicable measurements
- Engraving, if any
- Final price
- Estimated production time
Approval may be provided electronically or in writing.
Renderings are design representations and may not reproduce the exact appearance of the completed jewelry, gemstones, metal finish, proportions, or scale on every screen.
Once final approval is provided, changes may not be possible. Any approved change that can still be accommodated may result in additional fees and a revised production timeline.
Payment and Production Deposit
The required design fee, production deposit, and payment schedule will be stated in the customer’s proposal.
Production will not begin until:
- The final design and specifications have been approved.
- The Custom Jewelry Design Policy has been accepted.
- The required payment has cleared.
Unless otherwise stated in writing, the remaining balance must be paid before the completed jewelry is shipped or released to the customer.
Cancellations and Refunds
Design fees are nonrefundable once design work has begun.
Before production begins, a customer may request cancellation in writing. Any refund will exclude:
- Design fees
- Completed design services
- Specially ordered or nonreturnable materials
- Vendor charges
- Other nonrecoverable costs already incurred for the project
Once materials have been ordered, gemstones have been reserved, or production has begun, the order may not be cancelled.
Custom, personalized, engraved, specially sized, or made-to-order jewelry is final sale and is not eligible for return or exchange, except where required by law or when the completed piece does not materially conform to the customer’s approved specifications.
CAD Files and Design Ownership
CAD files, technical drawings, production files, renderings, specifications, stone layouts, and other design-development materials remain the property of Heather Campins Jewelry or its design and production partners.
Payment for design services or completed jewelry does not transfer ownership of the underlying CAD files, technical files, or manufacturing information unless a separate written agreement expressly states otherwise.
Design materials are provided for review and approval of a piece to be produced through Heather Campins Jewelry. They may not be copied, reproduced, transferred to another jeweler or manufacturer, or used for outside production.
The customer owns the completed physical jewelry after full payment but does not acquire the underlying production files or intellectual-property rights.
Gemstones, Materials and Natural Variation
Natural gemstones can vary in color, pattern, tone, transparency, cut, inclusions, and other characteristics. Lab-grown gemstones may also have individual characteristics and variations.
Images, videos, certificates, measurements, and renderings are intended to help the customer evaluate the proposed materials but may appear differently depending on lighting, photography, magnification, and screen settings.
Minor differences between renderings and the finished piece are normal because CAD images represent a design before casting, setting, polishing, and other hand-finishing processes.
Materials will not be materially substituted without the customer’s approval.
Production Time
Production estimates begin only after:
- Final design approval
- Acceptance of the applicable terms
- Receipt of the required payment
- Confirmation of material availability
Any timeline provided during the initial inquiry is preliminary.
Production and delivery estimates are not guaranteed. Delays may occur because of material availability, gemstone sourcing, design revisions, vendor schedules, quality-control concerns, shipping disruptions, or other circumstances outside the reasonable control of Heather Campins Jewelry.
Customers should disclose firm event dates before approving the project. Heather Campins Jewelry will advise whether the requested timeline appears feasible but cannot guarantee delivery for a particular occasion unless expressly agreed in writing.
Sizing and Post-Production Alterations
The customer is responsible for providing or approving the correct ring size and other applicable measurements before production.
The proposal will specify any sizing included in the project price. Requests to change the size after final approval may result in additional charges and production delays.
Some designs, gemstones, settings, engraving, eternity bands, or metal types may limit whether a finished piece can be resized or altered. Post-production resizing, refinishing, engraving changes, or other alterations are not included unless specifically stated in the proposal.
Any requested alteration will be evaluated for feasibility and priced separately.
Customer-Owned Jewelry and Gemstones
Heather Campins Jewelry is not currently accepting customer-owned gemstones, jewelry, or other materials for setting, alteration, repair, redesign, or incorporation into a new piece.
Customers may submit photographs or information about existing jewelry as inspiration, but items should not be shipped or delivered unless Heather Campins Jewelry provides prior written authorization.
Acceptance of Terms
Customers are not required to accept this policy merely to submit an initial inquiry.
Acceptance will be required before paid design services or production begins. Payment of a design fee or production deposit after receiving the project proposal and policy may also constitute acceptance of the stated project terms.
